Privacy Policy

Last updated: October 2026

Ottawa Occupational Therapy ("Ottawa OT", "we", "us") respects your privacy. This policy explains how we collect, use, share and protect personal information, including personal health information. We follow Ontario's Personal Health Information Protection Act, 2004 (PHIPA), the federal Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, Canada's Anti-Spam Legislation (CASL), and the standards of the College of Occupational Therapists of Ontario.

Who is responsible

Our occupational therapists are regulated health professionals registered with the College of Occupational Therapists of Ontario. Our Privacy Officer, Erin Victor, is responsible for our privacy practices. You can reach her at support@ottawaot.com or 613-797-9644.

What we collect

Through this website: when you use our contact form or email us, we collect your name, email address, phone number and the content of your message. Please don't include detailed health information in the contact form. We'll arrange a secure way to share it.

As part of care: with your consent, we collect the personal health information needed to assess and support your child, such as developmental history, school information, goals and assessment results.

Website data: our website platform (Wix) uses cookies and similar technologies to run the site and, where you agree, to measure site traffic. You can manage cookies through the cookie banner and your browser settings.

How we use it

We use personal information to respond to inquiries and book services; to assess, plan and provide occupational therapy; to prepare reports and receipts, including for insurance; and to meet our legal and professional obligations, such as College record-keeping requirements.

Consent

We collect, use and share personal health information only with your consent or as permitted or required by law. A parent or substitute decision-maker generally gives consent for a child, and capable youth may consent for themselves. You may withdraw consent at any time, subject to legal limits.

Sharing

We don't sell personal information. We share personal health information with others, such as a school, physician or insurer, only with your consent or as permitted or required by law. Service providers that help us run our practice, such as our website host and records systems, may process information on our behalf and must keep it confidential.

Emails and electronic messages

We send commercial electronic messages only with your consent, and every message includes a way to unsubscribe. Email is not always fully secure, so let us know if you'd prefer another way to communicate.

Safeguards and retention

We protect personal information with physical, administrative and technical safeguards suited to its sensitivity. We keep clinical records for at least as long as the College of Occupational Therapists of Ontario requires and then destroy them securely.

Your rights

You may ask to see or correct your personal health information by contacting our Privacy Officer. If you have a concern we can't resolve, you can contact the Information and Privacy Commissioner of Ontario at www.ipc.on.ca.
